YANA MATVIYCHUK: A GOOD CONTRACTOR ALWAYS HAS SPECIALIZATION

11 Jun

A general manager of Arena CS Yana Matviychuk and creative director Julia Gulevich shared the experience of organization of events and collaboration with customers at EBA Educational Session dedicated to the event-management.

THE MAIN THING IS TO CHOOSE THE “RIGHT” CONTACTOR

How to choose the reliable contractor who will help to organize an event at a high level? How to get a high-quality service during the event? The customers are concerned about these issues in the first place. Yana Matviychuk had a look at the conference-management in her report right from the client’s side.

“Service is everything: ranging from the preparation of the event itself to timely financial statements”, said the guru of conference0management.

According to her, the perfect contractor should have experience with such kind of events, which is planned by client to hold. Such company has insurance guaranties and collaborates with important partners, who can give recommendations. The right provider provides a single manager for the project – “one contact for any questions”.

“A responsible contractor asks many questions and insist on detailed contract, – continued the general manager of Arena CS. Such firms usually have specialization, as concertmaster won’t take on commenting on a football match”.

HOW TO MEASURE AN OPERATIONAL EFFICIENCY?

The creative director of Arena CS Julia Gulevich told how to measure KPI (Key Performance Indicators) – indicators that show the effectiveness of the chosen strategy and tactics to achieve a goal of the event.

Having considered the problem using an example of the large-scale forum on corporate communications, the expert listed criteria, which point at efficiency/inefficiency of work. This includes time spent on project realization, the number of relevant personnel, fouled-up deadlines and unplanned expenditures, the resonance in the media and social networks”.
